Pending withdrawals and the honest open item
During a full ledger reconciliation, the most common “almost matching” gap is a withdrawal that has left the exchange balance but has not yet confirmed in the destination wallet. Forcing the portfolio ledger to match either side early creates a false close.
Treat it as a timed exception
Write the open item with: source venue, destination label, amount, initiation time, and a link or tx reference when available. Re-check at an agreed interval. When confirmation arrives, clear the item; if it stalls past the venue’s stated processing window, escalate with the exchange rather than adjusting the ledger by hand.
Why importers alone cannot finish this
The multi-exchange import desktop shows you both ends when connectors and wallet labels exist. It cannot decide how long you are willing to wait or whether a delay is operationally acceptable. That decision sits with the person owning period close.
Carry-forward discipline
Open items that survive into the next quarter should appear on day one of the next review — not rediscovered by accident. Our quarterly ledger reviews start from the prior register for exactly this reason.
